Schramsberg, America's House of Sparkling Wine is seeking a Receptionist/Administrative Assistant to join our team.

Summary:
The Administrative Assistant performs a variety of administrative tasks, including greeting visitors, customers, and vendors in person, via phone, or email. This role also coordinates donations, company mail, and deliveries, and maintains the company calendar, office supplies, and water deliveries. This role also assists with supporting the Marketing/PR Department with various duties. The position supports the Marketing Support Specialist/Office Supervisor and Marketing & E-Commerce Manager as directed.

Essential Functions
Administrative Assistant – 65%
•  Directs and provides information to visitors, customers, and vendors to the appropriate person or department.
•  Answers, screens, and directs calls on a multi-line phone system in a courteous & professional manner.
•  Utilizes AMS to assist customers with order questions.
•  Routes general company emails to the appropriate person or department.
•  Handles the out-going company mail and takes it to the post office.
•  Answers inquires to visitors and/or potential visitors with general information about tours and tastings.
•  Forwards all calls for new reservations, revisions, availability, and purchases to the Visitor Center.
•  Take messages on behalf of delayed tasting experiences and forward them to reservationist as a priority.
•  Provides distributor information to customers seeking our wines locally.
•  Maintains office supplies inventory by checking stock to determine inventory levels, anticipate needed supplies, places order and verify receipt of supplies.
•  Coordinates deliveries and maintains water inventory for the company.
•  Maintain soap and coffee restocking supplies.
•  Maintains the company master calendar to date.
•  Orders and coordinates the process of distributing employee Birthday Cards.
•  Maintains the company phone list.
•  Serves as the main contact for general information within the company.
•  Performs a variety of clerical duties for various departments as assigned.
•  Verify and code Office vendor invoices in correlation to designated departments for accounting purposes.
•  Maintain the breakroom clean and make sure all dishes are placed in the dishwasher and dishwasher is run at the end of the day.
•  Main POC for Postage Machine, Copier Machines and Phone System.

Marketing & PR Support – 35%
•  Assists with the process of various trade donations for special events and tastings.
•  Assists with coordination and set up of trade virtual tastings and meetings.
•  Assists with the assembly of various marketing brochures for the entire company.
•  Update, maintain, and keep inventory of Schramsberg & Davies Vineyards label archives.
•  Create monthly Company Newsletter and Media Mentions Report.
•  Coordinates and processes company donations, including making donation recommendations and confirming details with the donation requestors
•  Maintains product technical sheets, create new tech sheets for new wine releases.
•  Updating the main website through WordPress as directed.
•  Maintain the President’s laminates, for trade visits and market work.
•  Filing PBEs
•  Loading USB files for market work support.
•  Support company with setting up Napa Valley Vintners events, as directed.
•  Assist with creating Camp Binders, as directed.
•  Assists (pour, host, food/wine stations, set-up and break down) with special events and tastings on property as needed.
•  Assist Marketing Support Specialist with coordinating and tracking media samples
•  Other activities as directed by Marketing Support Specialist and Marketing Manager

Qualifications
Education:
•  High school diploma or College Degree required; additional coursework or training in office management or administration is preferred.

Experience:
•  Minimum of 3 years in an office environment; prior winery experience is a plus.

Skills:
•  Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
•  Strong verbal and written communication skills.
•  Ability to prioritize tasks, multitask, and handle multiple projects simultaneously.
•  Solid technical skills and experience with online databases.
•  Enthusiastic work ethic and strong interpersonal skills.

Physical Requirements:
•  Must be able to lift and move up to 50 pounds.
•  Valid Driver’s License required.

Work Schedule and Hours
The Administrative Assistant is to coordinate with DTC Coordinators to ensure phone coverage during breaks, lunches, and meetings. California requires rest periods and meal breaks, which must be taken.
•  Standard Work Week: Monday through Friday
•  Daily Work Hours: 8:30 AM to 5:00 PM

Status: Hourly, Non-Exempt
Location: Schramsberg Vineyards, Calistoga, CA

Pay Transparency Disclosure:
The pay scale for this position is $20.00/hr. - $25.00/hr. These figures represent what we expect to pay for this position, but the actual compensation offered will depend on numerous job-related factors, including but not limited to: candidate qualifications, skills, experience, education, location, and market alignment. The Company reserves the right to modify this range in the future.
